Create Multi-Reservations from allotments

For confirmed allotments it is possible to generate multi-reservations and to create automatic pickups from these contingents.

The functionality can be found in the detail view of the respective block in Booking - Blocks - Details in the tab Guest/Reservations

This function is used to make individual reservations. Guests can be added individually from the address book.

Create multi-reservations

Here are basically two options

• Excel lists upload
• Pickup on Booker

Excel list upload

The button can be used to upload an Excel list from which reservations and guests will be generated. The Excel list can be found in the attachment to this article.

Within the Excel list the orange marked mandatory fields have to be filled in (please do not delete any columns, the columns A-R have to be present.

The salutation must be entered numerically. If additional guests are to be booked to a room, the additional guest must be marked in each case with an "x" in column R. With all columns it is to be made certain to format the data in such a way as indicated in the header line!

The above Excel would generate the following reservations, depending on what occupancy is provided in the block:

Upload for a single room block or room blocks with single occupancy specified at the block.

one reservation is generated from each Excel row, the R column is ignored.

Upload for double or multiple rooms (depending on maximum occupancy specified at the block)

For a double room block with possible double occupancy or also a triple room with double occupancy the following reservations would be generated from Excel:

1. Petra Perle with Orlando Bloom in the room - reservation on Petra Perle

2. Jon Doe with Elizabeth Taylor in the room - reservation on Jon Doe

3. Raul Paul would be booked into the following double room with reservation in his name, ignoring the X in that case.

For a triple room block with possible triple occupancy, the following reservations would be generated from Excel:

1. Petra Perle with Orlando Bloom in triple room in double occupancy - reservation in Petra Perle's name.

2. Jon Doe with Elizabeth Taylor and Raul Paul in a triple room

Etc.

Pickup on Booker

Especially in connection with automatic releases on a block, it can be useful to generate corresponding number of reservations firmly even without knowing the final guests. Because at the cutoff date such a block is otherwise reduced.

By setting the checkmark "Pickup on Booker" and a specification how many reservations should be created on the booker of the group, these bookings can be created automatically. The actual guests will then be adjusted at the latest when checking in at the hotel.
