Setting the option date for group bookings
It is possible to assign an option date (valid until) to bookings in customice in order to link offers to your customers with a duration/validity. Of course, bookings can be sorted by this date in order to keep track of optional bookings. The date can also be automatically stored in all documents when communicating with your customers.
The system currently has two basic settings for handling this option data:
Capture for manual processing / statistical purposes and use in documents - without automated processing by customice
Recording and automated tracking / processing by the system
In the first case, you have to manually cancel a booking if an option date expires without it being confirmed by your customers - you then have the opportunity to follow up with the customer at will - but also additional manual effort.
In the second case, if automated maintenance is activated by the system, all optional bookings (without confirmed sub-blocks/contingents) are automatically canceled on this date.
Note: In both cases, you must send cancellation mails manually (from the system) if you need or want this communication to your customers.
Default for setting a validity date
In both cases, you have the option of having the system set the validity date automatically by default x days before the start of the posting when a posting is created. Of course, the date can be corrected manually at any time (within certain plausibility limits).
Both settings are normally made by the customice team during the property setup. If you wish to change the settings, please contact your customice support.
If the option date is activated (recognizable by the note "is activated" directly after "Valid until"), the booking is automatically cancelled one day before the start of the first contingent if it has not been confirmed in the system by then.
