Create group bookings (allotement)

Create booking 

The booking flow can be started under “New” booking

The arrival and departure dates for the first contingent (block) are selected using the date picker. The desired size of the contingent and a possible promo code can also be specified.

Without specifying a desired number of rooms, the maximum available rooms for the desired period are determined.

The "Seek" button then shows all room categories for which there is availability. The possible room occupancy, the minimum and maximum number of rooms over the search period are also displayed.

By selecting a line, the category is selected and the creation of the booking begins with

Information on the booking

The group booking requires a name. The option date (valid until) and a description of the booking can also be entered.

Information on the respective contingent / block

General and rate selection

The standard occupancy and the basic rate plan must be entered here. In addition, information on the block, guest information and cancellation policies can be entered as text.

Guest information is automatically written as a reservation comment in all reservations that are subsequently made via this contingent.

The policies are available in all documents as information on the block. However, they currently have no systemic effect on the cancellation policies (in apaleo)

After selecting a rate plan, the price grid is prefilled:

Here there is a column for each day of the contingent. The number of available rooms and the daily rate price are stored for each day. These values can now be customized and saved in the allotment / block. Shoulder dates can be specially marked, pick-up restrictions (online pick-up) can be individually controlled.

Please note: in order for these prices to be drawn systemically later, a pick-up must be carried out via customice. When picking up via apaleo, only the average price is used and must be adjusted manually.

Online Pickup

The payment option for the block can be set here. The percentage of the reservation costs to be paid directly upon reservation and/or whether the card should (only) be deposited is specified in percentages from 0 - 100.

After completing the entry, the action buttons become active:

• “Save / Additional meeting block” creates another block.
• “Save / Add contact” jumps directly to the selection of the contact and the creation of the booking and synchronization to apaleo.

You can either add another contingent or you still have the option of not creating another block. To do this, click on the gray field on the right and always add a contact to the booking.
